How to add your signature to email clients

Gmail
1. Click the gear icon and select "See all settings".
2. Scroll down to the "Signature" section.
3. Click "Create new" and name your signature.
4. Click in the signature text box and press Ctrl+V (Cmd+V on Mac) to paste.
5. Click "Save Changes" at the bottom.
Outlook (Desktop)
1. Go to File > Options > Mail > Signatures.
2. Click "New" and name your signature.
3. Paste the copied HTML into the edit box.
4. Set it as default for new messages and/or replies.
5. Click OK.
Apple Mail
1. Go to Mail > Settings > Signatures.
2. Click "+" to create a new signature.
3. Paste the HTML signature into the edit area.
4. Uncheck "Always match my default message font" for best results.

Email signature best practices

  • Keep it concise -- include only essential information. Name, title, company, phone, email, and one or two social links is enough.
  • Use web-safe fonts -- stick to Arial, Helvetica, Georgia, or Times New Roman. Custom fonts will not render in most email clients.
  • Use a hosted photo -- link to an image on your website or a CDN. Attached images increase email size and may be blocked by recipients.
  • Match your brand colors -- use your company's accent color for consistency across all team members' signatures.
  • Do not include legal disclaimers in your signature unless legally required. They add clutter and nobody reads them.
  • Test across clients -- send a test email to Gmail, Outlook, and Apple Mail to verify rendering.
  • Keep image sizes small -- photos should be under 100KB and no larger than 100x100 pixels for signatures.

Why table-based HTML?

Email clients render HTML very differently from web browsers. Modern CSS features like flexbox, grid, and media queries are not supported in most email clients (especially Outlook, which uses Word's rendering engine). Table-based layouts with inline styles are the only reliable way to create signatures that look consistent across all clients. Our templates use this approach exclusively.

Privacy and security

Your contact information is processed entirely in your browser. No data is sent to any server. The HTML is generated client-side using vanilla JavaScript. We do not store, log, or transmit any of your personal information.

Frequently Asked Questions

Will this signature work in Gmail?
Yes. Copy the HTML, go to Gmail Settings > General > Signature, and paste it. Gmail supports the table-based HTML layout used by all four templates. Images via URL also work in Gmail.
Will this work in Outlook?
Yes. In Outlook desktop: File > Options > Mail > Signatures > New, then paste the HTML. In Outlook web: Settings > View all Outlook settings > Compose and reply > Email signature. Both support our HTML format.
Can I add my photo?
Yes. Enter a publicly accessible image URL in the Photo URL field. The image will be displayed as a circular avatar in the signature. Use a hosted image (e.g., on your website or LinkedIn) -- do not use local file paths.
Is my data stored anywhere?
No. All processing happens in your browser. Your contact information is never sent to any server. The signature HTML is generated client-side.
Can I use custom fonts?
Email clients have limited font support. The templates use web-safe font stacks (Arial, Helvetica, Georgia) that render consistently across all email clients. Custom web fonts would break in most email clients.
Why does my signature look different in some email clients?
Email clients render HTML differently (similar to browsers in the early 2000s). Our templates use table-based layouts with inline styles, which is the most compatible approach. However, some clients may still render slight differences in spacing or fonts.
